Office Assistant / Safety Coordinator - Job Description
The RoleThis is a role for someone who wants to do more than answer phones. You will lead safety for our shop and support the front office, splitting your time between the two in a way that keeps every day a little different. As our Safety Lead, you own the programs that keep people whole at the end of every shift: OSHA compliance, training, walkthroughs, LOTO, PPE, machine guarding, SHARP. You run the Safety Committee. New hires - including temps - learn how we work safely from you. On the office side, you handle the kind of everyday operations that keep a small manufacturer running smoothly: visitors, phones, mail, documentation, and some order entry and invoicing support. What You Will OwnSafety and compliance: - Coordinate all company safety activities - written programs, OSHA reporting, and Safety Committee meetings.
- Keep us aligned with the SHARP program and OSHA standards: machine guarding, PPE, lock-out/tag-out.
- Run new-hire safety training (including for temp staff) and lead annual refreshers.
- Walk the shop regularly and identify safety hazards.
- Maintain safety and training records, plus controlled documents for production and maintenance.
- Stay current - new methods, workshops, better training protocols. Bring ideas back.
Production and operational support: - Make sure the shop has the safety supplies it needs, when it needs them.
- Schedule scrap pickups and handle the paperwork.
- Schedule annual fire alarm and communication system inspections.
Front office: - Greet and sign in visitors, get them properly PPE'd, and make them feel welcome.
- Answer phones, handle mail, keep files organized.
- Help with order entry, invoicing, and purchasing when the office needs an extra set of hands.
What You Bring- High school diploma or equivalent.
- Comfort moving between a shop floor and an office - and respecting both.
- Clear, confident communication. You can run a training session, talk to a visitor, and hold the line on a safety rule without making it personal.
- Organized, dependable, and on time.
- Basic computer comfort for email, documents, and data entry.
Nice to Have- Prior experience in manufacturing, a shop, or a warehouse.
- OSHA 10 or 30, or existing training in lock-out/tag-out, hazard communication, PPE, or emergency evacuation. We will help you get there if not.
- Bilingual English / Spanish.
- Experience with ISO documentation.
The Honest PartThe shop side of this job is a real metalworking environment - moving machinery, noise, dust, mist, oils, and solvents. You will be on your feet moving between the floor and the office and using a computer for documentation. Nothing heavy to lift, but you do need to move around the building comfortably.
