Administrative Assistant- 1st Shift 8am-4:30pm - Job Description

Hoffer Plastics is hiring for "Administration Assistant ". Starting Pay $20.00 - $22.00 (based on experience) ** Hoffer provides full training, extensive benefits, and unlimited career potential. **** This position will act as the primary receptionist/switchboard attendant while providing administrative support through various clerical duties. RESPONSIBILITIES - Perform reception duties at the front desk including managing incoming calls, greeting visitors and performing pre-entry screening for visitors, assigning visitor badges and issuing required personal protective equipment.
- Maintains complete level of confidentiality with information.
- Compose and type routine correspondence including letters, and memos.
- Prepare, run and distribute reports as assigned including: Monthly management reports, weekend work schedules, attendance reports, disciplinary action notices and new hire ID Badges.
- Organize and maintain files, correspondence and other records.
- Plan, organize, schedule and track attendance for training events. Input and upkeep training records in training database.
- Receive, input, and maintain the company MSDS system.
- Coordinate schedule, meeting space, orders flowers, cake/food and beverages as needed for anniversary and retirement parties and other as needed.
- Become CRM champion for the Sales Team; assist the VP of Sales with monthly and quarterly reporting.
- Be the liaison between Hoffer and outside Reps and Sales along w/ compiling the monthly dashboard/analytics
- Manage our Sales Sample process including:
- Mailing/shipping samples to customers and partners
- Tracking inventory and work w/ Operations and Engineering for replenishment
- Projects will be assigned by the VP of Sales which may be for particular time period or ongoing. I.e. assist with mapping out processes, driving the Estimating/Pricing process improvements, etc.
- Other - administrative: PO creation for the Engineering team, compile PowerPoint slides for meetings, create charts in excel and/or PowerPoint.
- Assist with Trade Show preparation
- Manage vending machine issue log, maintenance and refunds.

PHYSICAL REQUIREMENTS - Prolonged periods sitting at a desk and working on a computer.
- Must be able to lift up to 15 pounds at times.
QUALIFICATIONS - High School diploma, GED, or equivalent plus 2 years of administrative support.
- Intermediate proficiency of MS Office Suite including: MS Word processing skills, Excel Spreadsheet preparation and tracking skills, PowerPoint Presentation skills and Outlook Calendaring skills.
- Excellent written and verbal communication skills.
- Bilingual language skills (Spanish/English) are highly desirable.
- Ability to effectively multitask, organize and prioritize work.
- Positive attitude, flexibility and willingness to do whatever it takes to get the job done.
- Excellent interpersonal skills and professional demeanor including the ability and self-awareness to maintain complete confidentiality and dignity of the company and our team members.
